Module 02 · Hospedia POS

POS system for resorts and all-inclusive hotels

Hospedia POS is the point of sale (POS) system in Hospedia Suite. Staff use it to ring up orders and take payment at the hotel's bars, restaurants and pool bars.

Designed for a shift at the pool bar

It's four in the afternoon. A guest on the all-inclusive plan orders two beers and a gin and tonic made with a premium gin. The server scans the wristband on a handheld. The beers are covered. The gin isn't, and the handheld says so before the drink leaves the bar. The guest charges it to the room and goes back to the sun lounger.

We're designing it so that scene doesn't need a call to the front desk or a note on paper.

All-inclusive wristbands, backed by the reservation

The bar doesn't decide what a wristband covers. That comes from the guest's reservation and the meal plan they booked, either with the hotel or through a tour operator. With Hospedia PMS, the POS reads it straight from the stay. If the front desk changes a guest's plan at midday, the next scan already knows.

Anything outside the plan is charged, at menu price or at a discount you set. If you want to know what's consumed inside the plan, servers can ring it up like any other sale, even though nobody pays. That's your call.

Room charges from any outlet

A couple has dinner at the à la carte restaurant and asks to charge it to room 214. The server scans a wristband or looks up the room, checks the name, and posts the bill to the stay. At checkout, the charge is already on their folio, itemised.

Designed to comply with VeriFactu

VeriFactu is the name commonly used for Spain's new rules for billing software. Each receipt has to be recorded when it's issued, carry a QR code, and stay unchanged afterwards. We're designing the POS to do this on every receipt, with no extra steps for the server.

The Spanish tax agency has announced it will push back the deadline, but the change hasn't been published in the official state gazette yet. So we don't give a date here.

Cash-up per outlet

The pool bar closes at midnight. The supervisor counts the till, and the POS shows what should be there for each payment method. The next morning, the hotel's audit team reviews every outlet's cash-up in one place.

On its own or with the other modules

Hospedia POS is designed to run on its own, next to whatever front-desk software you already have. What can be connected depends on that software, so we look at it with you case by case.

With Hospedia PMS, the bar and the front desk see the same thing at the same time: meal plans, wristbands and room charges. Nobody moves data from one system to the other.

You're in control

You set up the menu, each outlet's prices, the kitchen and bar stations and their printers yourself, in the software. If you open a beach bar in June, you add it yourself, the same day. Your sales data is yours, and you'll be able to export all of it in a documented format whenever you like.

Frequently asked questions

When will it be available?

Hospedia POS is in development. Its first pilot will be in Q2 2027. If you want to know when it could reach your hotel, email us.

Does it work with my current front-desk software?

That's the plan. What can be connected varies from one system to another. Tell us which one you use and we'll tell you what's possible and what isn't.

Is it only for all-inclusive hotels?

No. Wristbands and meal-plan checks are one part of it. Taking orders and payment, room charges and cash-ups work for any hotel.

My company files through SII (Immediate Supply of Information). Does VeriFactu apply?

No. Companies on SII are outside VeriFactu. SII is Spain's system for reporting invoices to the tax agency within days, compulsory above roughly €6 million in turnover. What they need from the POS is for receipts to reach their reporting software in time. Tell us how you handle it now.

How much does it cost?

We don't publish prices yet. Tell us about your hotel and we'll put together a proposal.

Running the bars and restaurants of a vacation hotel?

Tell us how you work: how many outlets you have, what the front desk uses, and what you still do by hand.
